The short version
- Your data is yours. Download it at any time, whether or not you leave.
- Your domains are yours. Move them to any registrar with a transfer code.
- Your emails are yours. Download every mailbox as standard .mbox files, or copy mail in from another provider.
- Website designs, templates and code are Brandvoya's. You take your content and data, not the template code.
- When you close your account, we delete your data within 30 days, keeping only what the law requires.
This summary helps you find your way. The full text below is what applies.
1. Before you leave: a checklist
- Download your data in Settings › Privacy & data. One file with your profile, wallet history and orders, plus your business data: SMS and email contacts and lists, store products and orders, content items, form submissions, bookings and leads.
- Download each mailbox in Business Email › Move mail in / out (see section 3).
- Move your domains to another registrar (see section 4).
- Ask for any unused wallet balance as described in the Refund Policy.
- Close your account in Settings › Privacy & data.
2. Your website
The designs, templates, layouts and code that run websites on Brandvoya belong to Brandvoya (and, for some templates, to their open-source authors under their licences). You may use them while your site is hosted with us. They are not exported when you leave.
What you can take with you:
- Your words and images. They are yours. Images you uploaded stay available while your account is open, so copy any you need.
- Your business data: store products, customer orders, content items (blog posts, listings…), form submissions and bookings, all in the data download.
- Databases you connected (Supabase, PostgreSQL, MySQL or SQL Server) stay in your own account with your provider. We only ever read from them and keep no copy, apart from a one-minute cache that shows pages quickly. Disconnecting or leaving changes nothing in your database.
When your account closes, your website goes offline. If it used your own domain, point the domain at your new website host.
3. Business email: moving mail out and in
- Moving out: open Business Email › Move mail in / out for a mailbox (or, as the mailbox user, Webmail › Settings › Import & export) and choose Prepare a download. You get one ZIP with a standard .mbox file per folder (Inbox, Archive, Sent, Drafts, Spam, Trash) that Thunderbird and Apple Mail import, and that Gmail or Outlook can import through Thunderbird. The download link works for 7 days.
- Moving in: on the same page, connect your old provider (Gmail, Outlook, Yahoo, Zoho, iCloud or any IMAP server) to copy every folder in, or upload a .mbox, .eml or .zip export. We only read from the old account, and your password is deleted when the copy finishes.
- Switching provider: download your mailboxes, then change your domain's MX records to the new provider. Mail arriving after that goes to the new provider.
Mailboxes and their emails are deleted with your account, so download them first.
4. Your domains
You are the registrant of every domain you register with us. To move one away, open the domain in Domains and choose to transfer it out. We unlock it and give you its transfer (EPP) code to enter at the new registrar. Registries don't allow transfers within 60 days of registering or transferring a domain. If you close your account with domains still on it, they stay registered to you until they expire, and you can still ask us for their transfer codes. See the Domain Registration Policy.
5. SMS sender IDs and WhatsApp
- SMS sender IDs are approved by mobile networks for use through a particular messaging provider. Whether one can be moved is up to the networks, so ask us before you close and we'll help where we can. Your registration documents remain yours to use for a new application.
- WhatsApp: your WhatsApp Business Account belongs to your Meta business, not to us. Remove Brandvoya under Meta Business Settings › Integrations, as described in Data Deletion.
6. Wallet balance
Unused money you added can be returned to your original payment method if you ask within 90 days of adding it; only payment fees we can't get back are deducted. The details are in the Refund Policy. Ask before you close your account.
7. What happens after you close your account
- You're signed out and can't sign in again.
- Your websites, mailboxes, campaigns, contacts and other data are deleted or anonymised within 30 days.
- We keep payment and tax records for 6 years because the law requires it, and the minimum needed so people who opted out are never messaged again.
- Backups are overwritten on their normal cycle.
